Social Media Marketing Deals: Client Onboarding Process
This onboarding process applies only to clients who have purchased social media marketing as part of their advertising agreement. Please follow the steps below to ensure timely, effective campaign launches.
Step 1: Deal Confirmation
Once your client signs a social media marketing deal:
- The deal is automatically added to the Social Media Marketing Deals Report.
- Immediately upon signing, your client will automatically receive a welcome email to:
- Officially welcome your client
- Initiate the onboarding process via a link to their onboarding form
The onboarding form can also be accessed from their customer portal under the “Social Media” tab.
Step 2: Begin Onboarding
Your client has received a welcome email providing them with a link to their Onboarding Form, where they can share:
- Campaign goals
- Target audience
- Creative assets (if available)
- Logo
For a more concierge-style experience, clients can choose to have us gather creative assets from their existing print ads, website, or social media channels.
Ad Destination Options:
- Client Website: Requires Meta Business Manager partnership setup.
- Digital Directory Listing: Includes a pop-up CTA to drive users to the website. No Meta partnership required.
Timeline Expectation:
- We request form submission within 5 business days.
- If not received, we will move forward by sourcing content from existing client materials to meet deadlines.
Step 3: Ad Creative Development
Once onboarding form is complete OR 5 business days have passed:
- The Social Media Marketing Team will create three custom ad creatives within 2–4 business days. These creatives will come to the client via their Customer Portal.
- These ads will be designed to run in a rotating 3-month cycle (one new ad per 30 days)
- While campaigns run for 12 months, we use quarterly refreshes to align with seasonal trends and maintain engagement
Step 4: The Approval Process
Clients will have 5 days to review and approve their ads within their customer portal.
- Approved Creatives: Campaign goes live within 1 to 2 business days.
- Revision Requests: Edits will be made within 2 to 4 business days, followed by campaign launch.
- No Response: If no feedback is received by the end of the review period, ads will be auto-approved and launched to stay on schedule.
Goal: Campaigns go live within 2 weeks of deal signing.
Step 5: Campaign Goes Live
Once the campaign launches, clients will receive an email with:
- ARC Customer Portal login details to access campaign performance reports
- Confirmation that their card has been charged, establishing the recurring billing date
Step 6: Campaign Refresh
A Campaign Refresh form is sent to the Primary and Digital contact listed on your clients account 30 days prior to the next cycle beginning. You, the Publisher, will also receive this notification.
Clients will receive a Campaign Refresh Form to:
- Submit new assets
- Update goals or messaging
If no updates are submitted:
- Our team will use the most recent assets and messaging
- We will create lightly refreshed ads for approval
- The next cycle goes live the day after the previous cycle ends
Step 7: Campaign Refresh Launch
Each campaign cycle lasts 90 days, with the first refreshed campaign cycle scheduled to launch on Day 91. All approval dates are outlined in the ‘Review Ad Proofs’ portion of the Customer Portal for reference.
Refresh forms must be submitted at least 7 days before the end of the campaign cycle. Clients will receive refreshed ads no later than 7 days prior to the cycle ending.
A client must submit any final revisions at least 1 business day prior to the end of their cycle so our team has ample time to complete the revisions.
- If revisions are submitted only 1 business day prior to the end of the cycle, revisions will be completed and ads will automatically be approved in order to keep the campaign on schedule.
Please note: Refresh deadlines are firm and cannot be extended or adjusted for any reason.
