Providing Contributor Portal Access

Guidde: Inviting Writers and Photographers to the Contributor Portal

  1. In ARC, navigate to the Editorial tab on the left side.
  2. Click “Writers and Photographers” at the top of the page.
  3. Click the green “New Writer/Photographer” button to the right of the page.
  4. Enter the information for the contributor, making sure to select their role.
  5. Click “Save” to save their information.
    1. Only Publishers, Editors, and Publication Directors have access to this tab.
  6. Click “Invite to Portal” to send the email invitation to the email address listed.
    1. You can resend the invitation by clicking on the contributor listed under Writers & Photographers.
    2. Here you can also download their Freelance Writer/Photographer Agreement once it has been signed.
  7. The contributor will receive an email with the link to access the Contributor Portal.

Assigning Articles

  1. To assign the article, click on the article in the editorial timeline. 
  2. Next, fill out all of the designated fields to give your freelance team all of the information that they will need. 
  3. Set the due date that you would like the article and photos by. 
    1. We suggest that you request all images and text at least 5 days before your deadline. 
  4. If you would like to add contact information for the client or business being featured, uncheck the box that says “No Contacts Required” and select “Add” to fill in the contact information for your freelance team. 
  5. Include any important information for your writer and photographer in the “Additional Directions” box. 
  6. If the article is for an advertising partner, select “Yes” and type the name of their business in the field titled “Company.” (Optional)
    1. Suggested businesses will populate; select the correct one for your area. This will directly link the article to their digital listing once the article goes live on the City Lifestyle website. 
  7. Assign the writer or photographer in the dropdown boxes provided.
  8. Adjust the page count, department, and title.
  9. Be sure to save all changes, as ARC doesn’t autosave. 
  10. If you would like to change the layout, you can do that on this page by clicking the tab that says “Change Recipe/Content.” The current recipes will be available on this tab, and you can easily change the layout here.
    1. If you have selected this as your custom content, you can click the “Add Inspiration” tab to select a layout in the custom content portal. 
  11. Once you have made all of your selections, click save and send. An email will be sent allowing your freelance team access and the information needed for the assignment.

Accessing the Contributor Portal as a Photographer

Guidde: Accessing the Photographer Contributor Portal

  1. You will receive an email from the Publisher or Editor once the content has been assigned to you. In this email, there will be a link to the Contributor Portal.
  2. If you are using the Contributor Portal for the first time, you will need to sign the Freelance Writers and Photographers Agreement before you can access the portal.
    1. Importance of Agreement: All freelance writers and photographers working with City Lifestyle must sign the Freelance Contributor Agreement. This agreement gives City Lifestyle full rights to use the photos and writing across all platforms. The content becomes the exclusive property of City Lifestyle for use in our publications. While a Publisher may grant permission for other uses on a case-by-case basis, in general, if City Lifestyle hired someone to create specific content, City Lifestyle owns the rights to that content.
  3. Next, create a password for your portal account.
  4. Under the Home tab, your current assignments will be listed on the left with their due dates.
  5. The Additional Info tab will include information such as:
    1. Title of Article
    2. Magazine
    3. Due Date
    4. Assigned Writer and Photographer
    5. Important Contacts
    6. Preview of Layout
  6. Under the Content tab is where you will upload your assignment.
  7. Click “Choose File” to upload your photos. 
    1. The minimum number of photos needed for the specific layout will be listed in red.
  8. If you were asked to include captions or placement notes, you can enter them in the provided section. If not, feel free to leave it blank—the Editor can add them later.
  9. After uploading your content, scroll to the bottom of the page. Click "Save" if you want to come back to it later, or click "Submit" to send the assignment to the Editor.
  10. If you choose to submit the assignment, a confirmation message will appear letting you know that no further edits can be made after submission.
  11. The Editor will receive an email that your assignment has been submitted.
