How to Navigate the Distribution Summary Tab in Arc
For publishers to view and understand their total distribution and its composition, as well as edit self-managed lists, adjust publication copies, and update their own delivery address as needed.
Understanding Your Distribution:
There are six components that make up the distribution for your magazine.
- Residential Routes
- Your Lists (Composed of 4 parts)
- Publisher (My) Copies
- Additional Readers*
- Customers/Clients*
- Businesses List*
- Exclusion List
*These lists have maximum address quantities.
Steps:
- In ARC, go to Distribution found on the left menu.
- Click on Summary on the top bar.
- Select the month you want to view by clicking on the arrows to the left and right of the month shown.
- Residential Routes: This is the total number of single family residences chosen in the mail routes. This is the majority of your distribution.
- Your Lists: There are four different lists that are self managed.
- Pub (My) Copies: The quantity of pub copies that the publisher will receive.
- Additional Readers: Are copies sent to featured article subjects, photographers, writers, family & friends or anyone that the publisher chooses to add to the list.
- The cap for additional readers is 300.
- Customers: Advertising clients are automatically added to the client distribution list upon signing their agreement.
- Incomplete Addresses: If the customer's address is incomplete when the contract is signed, the client will still be added to the distribution list. However, when the mail list is processed at the printer, the client will not receive the publication due to the incomplete address data.
- Address Updates: Once a client is added to the distribution list, their mailing address is locked and will not automatically update, even if the primary account information is changed.
- Special Mailing Address: To deliver the publication to an address different from the client's business (e.g., a home or secondary office), you must manually change the delivery address in the customer list. Note: This manual change will not affect the client's primary account information.
- The cap for customers/clients is 250
- Businesses: A list of businesses are supplied during KC class or at 6K. Once a business is converted to a client, remember to manually delete them from the Business list or convert them to a client - otherwise they will receive two copies.
- The target number of businesses will vary depending on your number of clients. The sweet spot is to equal 500 between businesses and clients to keep help support your readership numbers.
- The cap for the business list is 500
- Exclusions: Any Residential reader who has asked to be removed from the mailing list. This is not to be used for any readers added to your lists. Any additional reader requesting removal should be removed by the publisher using the trash can icon.
- Total Distribution: Sum of all distribution parts added together minus any exclusions.
Important: ALL Changes to Distribution must be complete by your first ad deadline. The day following the deadline (26, 2, 7, 13), all mail lists are sent to the printers to begin their processes and cannot be changed.
