How to Navigate the Additional Readers Tab

The Additional Readers tab in ARC allows publishers to manage recipients by adding or removing businesses, clients, friends, family, article subjects, photographers, writers, special requests, and temporary deliveries.

This is also where publisher copies, client delivery addresses, and residential removal requests are handled.

This is your space and you have full control to update recipients each month. Just remember that any changes made will remain in effect until they are updated again.


  1. In ARC, go to Distribution found on the left menu.
  2. Click on Additional Readers on the top bar.
  3. Select the month you want to view by clicking on the arrows to the left and right of the month shown.

Add Additional Reader: 

  1. Click on Add Additional Reader. 
  2. The reader details box will appear to enter the name, company name, address, city, state, zip code, and number of copies. 
  3. Under Type, assign the reader as a Business, Customer, or Additional Reader. 
  4. You can also assign a begin/end issue if this person should receive a select number of issues. 

Changes to Publisher Copies

“My Copies” is your total number of publisher copies and where they are to be delivered. 

  • If you are a publisher setting up your account for the first time, you will want to click on Add Additional Reader and follow the steps listed above. Before saving, check the My Copies box to save this contact for your publisher copies. 
  • To edit your copies or contact information, click on your address under “My Copies” and a box will appear for editing. 
  • Note that if you change your address in your profile, it will not automatically carry through to distribution. This is intentional. If you want the pub copies to come to the same address you use for your profile, you will have to manually enter it in distribution to change the delivery address for your copies.
  • Also note that any quantity changes will carry through to the following month. So if you need extra copies for October, you will adjust that month, then arrow to November and reset your copy quantity to a number you would like. 

Additional Readers List: This list encompasses three types of distribution recipients: Businesses, Customers, and Additional Readers. The list can be sorted by using the carrot next to each column header. 

  • Business: This is the business list CL originally supplied at launch. It may have been updated along the way. You are welcome to add, delete, and make changes to this list. Click on the address and a box will pop up for you to make changes. 
  • Customer: These are your clients/ad partners. They are automatically added to distribution when the contract is assigned. They are typically highlighted in blue when they are active. It is good practice to check these before your first ad deadline. If a contract is signed without an address attached it will not pull over an address for distribution. You will need to manually add the address by clicking on the address area for the box to pop up. 
  • Additional Reader: This is anyone who requests the magazine that is not a business or a customer. This list is typically friends, family members, writers, article subjects or community partners. You can make changes to the address by clicking on the address and a box will pop up to make changes.

Note: If you are concerned an additional reader is not receiving their copy and have verified they are listed correctly under the Additional Readers list, please submit a support ticket.


How to Navigate the Additional Readers Tab in ARC

1. Understanding Additional Readers

An additional reader is anyone added to the mailing list outside of the residential distribution routes. There are four different components that make up the additional readers list: Publisher Copies, Customers, Businesses, and Additional Readers or specific individuals/single addresses. Using the Additional Readers tab, publishers can strategically place the magazine with key local businesses and influential community members, maximizing visibility and building valuable connections.

2. Publisher (My) Copies and Customers

Additional readers are individuals or businesses outside the residential mailing routes who receive copies of the publication. These readers are divided into four main categories. First are the Publisher Copies or My Copies. These are for the publisher’s personal distribution. Most Publishers receive 200-300 copies per month to be used for prospecting and sales purposes or promotional events. Next are Customers. Advertising clients are automatically added to the additional readers list as a "Customer" when an agreement is signed. They will begin to receive copies at the contract start date. Publishers can update the copy quantities if a client needs to receive more than one copy. Be sure to remove them as a "Business" to avoid duplication on the additional readers list.

3. Businesses and Additional Readers

Next are Businesses. These are high-value local businesses within the Publisher's zip code territory who do not currently advertise with City Lifestyle. The Distribution team will compile the list and upload it into ARC where Publishers can edit, remove and add businesses to focus on what they like to target in their area. Lastly are Additional Readers personally selected by the Publisher who might be influential in the community or potential clients that are not already within the residential mailing routes. These could also be writers, photographers or family.

4. Policy and Expectations

There are policies and expectations around managing additional readers. The publisher is responsible for managing and keeping the additional readers list up-to-date. Once a magazine has been printed, there is no way to get additional copies. Changes and updates need to be entered by the publications ad deadline. If a change is made to the number of copies, that number will continue to reflect that change going forward. If this is meant to be a temporary change, publishers must change this number prior to the next issue in ARC back to the desired quantity.

Limitations and balance are important regarding Additional Readers. Do not add entire subdivisions as additional readers. If a publisher wishes to include a subdivision, they must add it as a route through the annual residential route change opportunity. Do not add areas outside the designated territory. Out-of-territory entries will be removed from the distribution list. The exception to this would be family and close friends, they may be added selectively. Limit additional readers to high-value contacts, such as potential clients and community influencers, to maximize visibility and connection.

Cost Management is also important. Publishers are responsible for distribution costs for every copy. Limit additional readers to limit costs as this method does not provide high saturation rates. Residential distribution is the most economical method for mailing. The exception to this would be family and close friends, they may be added selectively. Limit additional readers to high-value contacts, such as potential clients and community influencers, to maximize visibility and connection.

In ARC, click on the Distribution tab on the left hand side.

9. Select magazine

My Copies lists the publisher’s details and the number of copies they receive with Tracking information.

Below is a list of your Additional Readers including local businesses, advertising clients and influential individuals receiving a mailed copy.

13. Click "Add Additional Reader"

To add a new contact, click "Add Additional Reader" under the actions menu in the top right.

14. Enter Additional Reader Information

Enter the Additional Readers information including the number of copies you would like them to receive and if there is an "End Issue". Check the "My Copies" box for publisher copies that are unlabeled. Enter the reader or company's name and address how it should appear on the mailing label. Finally, assign a type of reader, business customer or individual additional reader. Click "Save" to add the entry.

15. Edit or Remove Additional Reader

To edit a readers information, click on the reader’s name to update details as needed. Click the trash can icon on the right side of their row to delete the reader.

16. Download Template and Upload Additional Readers List

You can also bulk upload Additional Readers by downloading the sample CSV template and then uploading it here under Actions. Once the CSV has been filled out, click Upload List to add the readers.
